Rental Information

We strongly recommend that you read through all of the following rental information. If you are only looking for specific information please use the drop down menu below to quickly find the information you require.

 

All properties in Sandbridge are privately owned and are decorated and equipped to suit the tastes and needs of the owner. Most are fully carpeted, many are air conditioned and most are heated for year-round use. property sizes range from one to twelve bedrooms. Because properties are different inside and out, if you have any specific needs (i.e., bed sizes, smoking preference, or pet friendly, etc.) please bring this to our attention while making reservations and we will try to accommodate your needs.

Weekly rentals are Saturday to Saturday only during IN and PEAK Seasons.  You may reserve a property by phone, on the Web or in person at our office.  When completing an online reservation, you must contact our office within 24 hours to affirm your request.  A lease agreement will then be emailed to you. The first payment is due with in 24 hours.  The remaining balance is due 45 days prior to the check-in date.  Reservations made with a check-in date of less than 45 days from booking date require payment in full within 24 hours.

In addition to the rental amount advertised for a particular property and time frame the other fees are as follows:       

Administration Fee

For every rental, a $85 non-refundable taxable administrative fee is charged for processing your reservation.  This fee will show up on your rental agreement under reservation charges.

Accidental Damage Plan

There is a non-refundable taxable $60 coverage fee that protects you in the event of accidental loss or damage to the rental property that is not a result of negligence or willful conduct by you or others in your party up to $500 total. You must notify our office in writing of any damage or loss during your occupancy and receive a written copy of your report prior to your checkout or this coverage is void. Payment and acceptance of the Accidental Damage Plan Fee must be paid prior to occupancy. Terms and conditions of this coverage will be mailed to you with your Advance Rent Request.

Taxes

Tax rates are governed by the Commonwealth of Virginia and the City of Virginia Beach and are subject to change without notice.  Currently, the tax rate is 15.5% (10.5% city and 5% state).  The tax is applied to the gross rental amount, the $85 Administrative Fee, the $60 Damage Deposit Waiver, and the Pet Fee (if applicable).

 

Cancellations

All cancellations must be in writing. In the event of an emergency cancellation occurring one week or less before check-in date, a verbal cancellation will be accepted by phone, but must be followed up in writing. Every effort is made to re-rent the property to minimize your loss. If the property is re-rented for the original rental period, or a portion thereof, the only refund due the Tenant will be funds received in excess of the original rental rate. If the property is not re-rented for the original rental period, then the Tenant will not receive any refund of any monies paid. The Administrative Fee, Accidental Damage Plan fee, Pet Fee and Travel Protection Insurance Premium are non-refundable items. In addition, all cancellations are subject to a cancellation fee of eighteen percent (18%) of the gross rent. Refunds are payable to the Tenant within thirty (30) days after the subsequent re-rent payment has cleared SBR’s financial institution.

Tip: Consider Travel Protection Insurance .  Trip Insurance protects you and your family from expenses you may incur due to illness, injuries, and certain other unforeseen circumstances.

 

  Travel Protection Insurance

Travel Protection Insurance: This insurance can protect you and your family from expenses you may incur due to illness, injuries, weather, and other unforeseen circumstances.  For your convenience and protection, we have added the cost of a travel protection plan covering the amount of your rent.  This cost is approximately 6.5% of the rental amount.  For additional information, please call CSA Travel Protection at 866-298-6846 (Group Plan Code 330CSA) or visit the CSA Travel Protection Coverage Website.  The plan is optional, therefore, to decline coverage follow the instructions on your lease agreement.  Click here for More information.

Methods of Payment

We accept cash, money orders, cashier’s checks, personal checks, certified checks, ACH Debt, or credit cards.  Personal checks are not accepted for reservations booked less than 45 days before arrival.  Credit card payments are accepted , but (fees and restrictions do apply).  Click here for Credit Card Payments. *Repeat Tenants – Prior to June 3rd, Tenants have the option to make a tentative reservation for the following year for the same property and timeframe as their current reservation. On the first business day of June (excluding Saturday and Sunday), all open weeks become available on a first-come, first-served basis. All tentative reservations require a $100 holding deposit within 5 days to hold the reservation, with no additional billing until September of the current year. This holding deposit will be applied to the reservation balance, but becomes non-refundable in the event of cancellation. To confirm availability and to reserve the same property and timeframe for next year, please contact our reservations department. 1.800.933.4800.

*New Tenants – On June 3, 2013, all unreserved 2014 weeks are made available for reservations on a first-come, first-served basis.  A non-refundable $100 deposit is required within 5 days to hold this reservation, with no additional billing until September 2013.  The first payment is required in September 2013, with the final payment being due 45 days before arrival.

Check-In

Properties are available for check-in between 3:00 p.m. and 5:00 p.m.  Every effort is made to ensure that all properties are clean and ready for occupancy.  However, in some instances it is necessary to delay occupancy until the property is ready.  There are no rebates for such late occupancy.  If you anticipate arrival after 5:00 p.m., please notify our office ahead of time so that arrangements can be made for keys and directions.  Properties are NOT available for check-in earlier than 3:00 p.m.

*NOTE: If you are arriving early to enjoy more time on the beach, we suggest that you do not purchase groceries until after receiving your keys, as perishable foods may spoil. 

Early Check-In

Sandbridge Realty is pleased to invite our guests to take advantage of our “Early Check-In” program. Arrangements will be made to have these properties ready for check-in at 1:00 p.m. on check-in day, instead of the standard 3 p.m. check-in time. There is a taxable, non-refundable fee for this program, with a limited number of early check-ins available. Early check-in must be requested at the time of original booking, so be sure to make your request when speaking with our Vacation Specialists or when placing your reservation online (by checking the Early Check In box during the online booking process).

Express Check-In

Tenants who have prepaid their total balance and returned their signed lease prior to arrival will be able to take advantage of our drive-thru Express Check-In, with no need to park the car and stand in line.  You can hit the beach sooner with our Express Check-In!

After Hours Check-In

Should you arrive after our office is closed, your package will automatically be placed in our Late Arrivals Box, located in the foyer of our office.  This package will include instructions on how to reach your rental property.                   

Check-Out

Check-Out time is by 10 a.m.  Sorry, no exceptions.  Our housekeeping staff must have ample time to clean and inspect all properties for the next arriving Tenants.  Your cooperation in making this a smooth transition is greatly appreciated.

Linens & Towels

Linens and Towels are provided for certain properties during specified seasons for weekly stays only.  For those properties that provide linens, they will be delivered to the property in plastic bins.  Beds should be stripped at departure and placed back in the plastic bins for pick-up.  For properties that do NOT provide linens, please bring all linens including sheets, pillow cases and towels.  Or you can rent linens and towels from a local company in Sandbridge, Ocean Rentals. The linens and towels can be ordered online or you can call (800)695-4212. Ocean Rentals will deliver them to your vacation property.

*Please Note: If Linens and Towels are provided with your rental, it will be noted on your lease agreement under Accommodations. 

Linen Package

The Linen Package provided by Sandbridge Realty will include the following per bed:

  • 1 Fitted Sheet
  • 1 Standard Bed Sheet
  • 1-2 Pillowcases per bed type

The Bath Towel Sets are included in this package and you will receive the following:

  • 1 Bath Towel
  • 1 Hand Towel
  • 1 Washcloth
  • 1 Bath Mat per bathroom
A set of Kitchen Towels are also included.

*Please Note: You will receive Towel Sets equivalent to the maximum number of occupants allowed in each home.

Beach Access

Please use marked public walkways or stairs when accessing the beach.  Walking on dunes is prohibited.  Not all oceanfront properties have private beach access.  Please contact a reservationist to locate the nearest beach access.

Parking

Parking is permitted only in driveways.  Parking anywhere else may damage water lines.  On-street parking is permitted on some side streets.                       

Family Groups Only     

As Agents for our property owners, we are only authorized to rent to family groups.  No sororities, fraternities or other such non-family groups are permitted to rent.  Should a party group occupy a property, we reserve the right to terminate the rental without any refund and to proceed with legal action to recoup damages.  Please do not jeopardize your vacation.           

Weddings & Special Events

Sandbridge Realty offers a specific list of properties authorized for weddings and special events.  To find a current list of special event homes, please visit our Wedding & Special Events Guide. All Special Event reservations require a $500 refundable Damage Deposit and a $1200 (non-refundable) Special Event Fee. Special Event Liability Insurance Coverage is required and is provided as part of the $1200 Special Event Fee. (Note: The $60 Accidental Damage Plan fee is not available for Special Events).  Tenant and guest limits at these properties must NOT exceed 75 persons during the event and must NOT exceed the property’s stated occupancy during the remainder of the reservation.  All persons, including Outdoor bands and DJs will have to follow Sandbridge Realty’s Policies concerning Deck Capacity and Virginia Beach Noise Ordinances.  To view these policies and ordinances you can visit our Special Events Policies & Wedding Information page. City Permits may be required.  Special event insurance is required for all special events. Extra tenant parking is available at in Sandbridge and is located at Sandbridge Seaside Market (209 Sandpiper Road) and at Little Island Park (3820 Sandpiper Road). Bad Weather

Sandbridge Realty will make every effort to help make your vacation memorable and enjoyable.  Refunds will not be made due to inclement weather.  Sandbridge Realty does not offer refunds in the event of a hurricane evacuation. 

Deck Capacity Limits

Deck capacity shall at no time during tenancy exceed that of the stated maximum property occupancy.  Any injuries or damages resulting from negligence of this safety advisory will be handled per Section (8) of the Lease Terms and Conditions. 


Pets and Pet Laws

If you are bringing a dog, please be sure to select a property that allows them.  A taxable, non-refundable fee will be charged for each dog, maximum of 2.  This fee is used for additional cleaning and extermination upon departure.  Cats are strictly prohibited!  Animals found on or around a property that does not allow them are grounds for immediate eviction and total forfeiture of all monies paid.  Additionally, city ordinances must be observed at all times.  These include, but are not limited to, beach restrictions, leash laws and guidelines about cleaning up after your dog.  Please do not jeopardize your vacation.  For more pet details, click here.

Pets are permitted on the beach before 10 am and after 6 pm Memorial Day through Labor Day weekend.  Leash laws are in effect at all times.

Telephones and Cable

The property phones are for your convenience and should be used for local calls only.  These phones are protected with a long distance toll block.  We ask that if you need to make a long distance phone call to please be sure and charge the call on a calling/credit card.  Should any calls be charged to the property phone, you will be billed for the cost of the call plus a service charge.  Please check your contract to make sure a phone is provided for your property.  The property phone number can be found on your contract.

Cable or Satellite service is provided in all properties.  Cable service does include HBO.  Pay-Per-View is not permitted and is blocked for Tenant use.

 

Repairs/Refunds

The maintenance staff at Sandbridge Realty will make necessary repairs within a reasonable time.  The earlier the repairs are reported, the sooner we can correct the problem. If mechanical systems malfunction, such as air conditioners and appliances, every effort will be made to correct the problem.  There will be NO REFUNDS for the mechanical failure or break-down.  

Routine Maintenance

It may be necessary for the Sandbridge Realty Maintenance Staff to enter the properties during reasonable hours to perform minor repairs.  In the event repairs are needed, our office will make every effort to contact the Tenant prior to entering the property.

Grills

Grills are prohibited on decks except for gas grills provided by the property owner.  Each year we have to replace decks due to non-observance of this local ordinance.  Most properties include a grill.  Unless otherwise specified on your contract, we cannot guarantee whether the grill is charcoal, electric or gas.

Hot Tubs & Pools

Hot tubs and pools are serviced for each check-in.  Excessive sand, dirt or tanning oil found in tub will necessitate a cleaning fee, which will be charged to you.  There will be NO REFUNDS for the failure or break-down of hot tubs or swimming pools.  Pool and hot tub safety rules are provided to Tenants with the lease agreement.  Please enjoy these amenities but follow posted rules.  The pools are available for Tenant use during specified dates, found on your lease agreement, in our brochure, and on our web site.  No earlier dates or extensions will be granted.

Locked Closets

Many of our owners have closets for their personal items.  The use or access of these locked closets is not included in any rental.

Water Conservation

Please do not wash cars or use water carelessly.  Keep conservation in mind!

Fireplaces

Only fireplaces which are described in property descriptions are for Tenant use.  Fireplaces may only be used in the Off Season.  In the event a fireplace is inoperable, there are NO REFUNDS.

Motor Homes / Recreational Vehicles

Motor Homes may not be plugged into electric or water at any property.

Recycling

There is one recycling location close to Sandbridge: Municipal Center parking lot, located at George Mason Drive and James Madison Blvd.  For those properties that have a blue recycling bin, recycling is picked up every other Tuesday.  If regular trash is placed in a blue recycling bin, the bin will not be emptied.  Please contact our office for the recycling pick up schedule.

Trash

An automated trash pick up system services Sandbridge.  All trash must be placed in large black cans located at your property.  Trash not in black cans will not be picked up.  You should have the cans at the curb early the morning of pick up or the evening before to ensure pick up.  You will be held liable for trash that is not picked up.  Condo properties have private trash pick up.  Please see check-in package for instructions. 

HOUSEKEEPING return to top

Properties are cleaned after each Tenant.  Please call our Housekeeping department at 1-800-933-4800, ext. 125 if the property is not cleaned to your satisfaction upon check-in. 

Mid-Week Cleaning

Mid-week cleaning is available, at the expense of the Tenant, by contacting Housekeeping department for applicable charges.  Cost for mid-week cleaning varies by property and must be ordered and paid for prior to check-in.

Bed Making Service

Long trip? Arriving late? Don't feel like making your beds? The Housekeeping Department wants to help relieve some of that stress. We can have your beds made before you arrive. For details, please call our Housekeeping Department 1-800-933-4800 ext 125.

Lost & Found

Be sure to verify that you have all of your personal items prior to departure.  Sandbridge Realty is not responsible for any items left in the property.  In the event items were left at a property, they can be returned through UPS at the Tenant’s cost.  Tenants are responsible for contacting the Housekeeping Department to verify receipt of lost items and to arrange for shipping.  Lost and Found items unclaimed after 7 days are turned over to charity.

Our office is located at 581 Sandbridge Road, Virginia Beach, VA 23456, on the right-hand side of Sandbridge Road approximately ¼ mile before you enter Sandbridge Beach.  During the In and Peak Seasons, office hours are Monday through Saturday, 9:00 a.m. to 5:30 p.m. and Sunday 11:00 a.m. to 4:00 p.m.  During the all other Seasons, office hours are Monday through Saturday, 9:00 a.m. through 5:00 p.m. and closed on Sundays.

What’s the temperature like in Sandbridge?

Is it possible to rent a property for less than a week in Sandbridge?

During the Off Season, some of our rentals offer a 3 night rate.  If offered, the price is advertised for each participating property.  Reservations for fewer than 3 nights are not offered.  Reservations for less than a week cannot be booked online.  Please call a Reservationist at 1-800-933-4800 for additional information.  During the In and Peak Seasons, only full weeks from Saturday to Saturday are available.

Can I bring my boat, Jet Ski, kayak, etc.?

Sandbridge currently does not have a public launch site for the ocean or bay.  However, some of our water view and bay properties offer access to the bay via private boat ramps and docks.  Watercraft to be used in the bay should be limited to kayaks, canoes, jet skis and motorized boats with a maximum water draw of 12”.  The nearest locations for public launch sites are Rudee's Inlet, approximately 20 minutes from Sandbridge, Munden Beach, Horn Point and West Neck Creek Marina.  Click here for details and directions <www.kayakvb.com/launch>.           

Do you need a fishing license for the ocean or bay?

A license is required for all fishing in Virginia for individuals over the age of 16.  Five day freshwater & saltwater and 10 day saltwater licenses are available for a reasonable fee at Bloom (757) 426-2774 Bruce's Bait & Tackle (757) 426-3474 and WalMart* (757) 430-1836 or you can purchase them online at VA Dept. of Game & Inland Fisheries.

The local Sandbridge Market is open 7 days a week.  The closest large chain grocery store is Bloom (formerly Food Lion).  Wal-Mart, Farm Fresh and Harris Teeter are located within a short driving distance.  The Red Mill Commons shopping center, approximately 6 miles from the office, offers various restaurants, specialty shops, pharmacies, clothing stores and a liquor store.  Red Mill Commons

Life-Guarded Beaches

Life Guards monitor Sandbridge beach in two public beach areas from Memorial Day to Labor Day.  Please use caution while participating in water activities in all other areas.

Wild Horses

Wild horses may be spotted in Sandbridge and should be admired only from a distance.  Keep in mind that these animals are wild and should not be fed or cornered.  If you spot a horse, please call the Back Bay Wildlife Refuge at (757) 301-7329 to have it safely returned to the refuge.  The Refuge is home to countless waterfowl and other wildlife like deer, fox, feral pigs and a variety of turtles and snakes.          

Internet Access

Some of our properties provide Internet access free of charge to the Tenants.  Tenants must have their own laptop, unless otherwise specified in the property amenities.  Free wireless internet access is available at Panera Bread and Starbucks, both located just a short distance away in Red Mill Commons.
